Full Time / Permanent

Greater Manchester

£20,000 (plus opportunity of an increase after 6-month probation)

 

My client is a fabulous social enterprise that provides services to address the psychological and mental health needs of children, adults and families with a particular emphasis on cultural diversity and cultural competence. They are looking for an Office Manager & PA to support the Executive Director and Senior Management Team by providing flexible, responsive, confidential, friendly and efficient support.

 

Main Responsibilities Include:

 

  • To provide personal assistance to the Executive Director and Senior Management Team including communicating with internal and external stakeholders, organising diaries and managing correspondence
  • To efficiently organise various meetings and events including the booking of rooms/venues and the efficient distribution of agendas and minutes.
  • To manage minute taking, circulation and subsequent arrangements for a variety of meetings including team meetings and board meetings
  • To develop, implement and maintain efficient administrative systems, in line with Data Protection legislation, that supports the work of the organisation including filing and computer systems, and establishing and maintaining effective communication with Just Psychology’s clients and staff.
  • To respond to and liaise with customers/partner agencies to ensure that Just Psychology’s financial affairs are properly conducted, monitored accurately and are up to date including invoicing and chasing payments.
  • To work the Finance Officer to collate information from staff including invoices, timesheets, expense forms, and data entry onto spreadsheets.
  • Liaising with external HR providers in respect of HR Case work.
  • To undertake supervisory responsibility and implement appropriate training for all administrative and office staff.
  • To report and effectively analyse data on the CRM system or any other database the organisation may utilise for effective use and reporting of information.
  • To provide general reception and customer service duties including answering telephone calls, responding to queries and providing general information about the organisation.
  • Maintain appropriate levels of housekeeping and office supplies in a cost effective and tidy manner with minimal waste.
  • To undertake and contribute to any research and development projects, surveys or audits which the service is required to complete, providing information in a clear, accurate and informative manner.
  • To be aware of and actively promote the vision and mission of the organisation and role model the values.
  • To be alert to potential indicators of abuse and neglect in children and vulnerable adults, and know how to act on their concerns in line with Just Psychology’s policies and procedures


Key Skills & Abilities

 

  • Strong leadership & management skills
  • Strong numeracy and analytical skills
  • Excellent communication skills (verbal & written), including the ability to draft proof read and edit correspondence and reports appropriately
  • Excellent IT skills including the ability to use MS office Word, Excel, Internet, Explorer, Outlook and PowerPoint
  • Able to speed type and take accurate minutes
  • Impeccable diary management with the ability to strategically think ahead
  • Excellent time management and prioritising skills
  • Ability to supervise staff and provide support, training and direction
  • Ability to understand and implement the principles and practices of equality and diversity
